 General information on data processing

As the National Academy of Sciences, the Leopoldina is committed to protecting the information and data entrusted to it. Data protection principles such as data minimization, transparency, and security are, therefore, a top priority for us.

We maintain various automated systems for the administration, storage, and processing of our members’ data and thereby pursue different purposes (e.g., distributing newsletters).

Your personal data will be deleted or blocked by us as soon as the purpose of storage and processing ceases to apply, provided that no legal obligation can be cited for prolonged storage or that legal claims are still in effect, which can be asserted against us and require storage. 

How and what data do we collect?

Personal data is collected when you provide it to us, for example, when using our contact form. Furthermore, data is automatically collected when you visit our website. These are mainly technical data (e.g., internet browser, operating system, or time of page access). The legal basis for the processing of your IP address is Art. 6 para. 1 (f) GDPR, when sending an application via our job portal Art. 6 para. 1 (b) GDPR and for purposes based on your consent Art. 6 para. 1 (f) GDPR. This data is automatically collected as soon as you access our website. We generally store your IP address anonymously. Complete storage of the IP address is only done for the purpose of tracing technical errors, hacker attacks and for logging consents, e.g. for newsletter subscriptions.

What do we use your data for?

Some data is collected to ensure error-free performance of the website. Other data can be used to analyze your user behavior. The legal basis is the existence of a legitimate interest pursuant to Art. 6 para. 1 (f) GDPR.

No transfer of your personal data

We do not pass your personal data on to third parties without your consent unless we are entitled or obliged to do so by law, government order, or court order. This may include, in particular, the disclosure of information for the purposes of criminal prosecution, averting danger, or enforcing intellectual property rights.

Which rights do you have regarding your data?

You are entitled to assert your rights as a data subject at any time. If the respective legal requirements are met, the following rights apply:

You have the right to request information about your personal data processed by us at any time. In particular, you may request information as to the purposes for processing, the category of personal data, the categories of recipients to whom your data have been or will be disclosed, the planned storage period, the existence of a right to rectification, to cancellation, to restriction of processing or opposition, the existence of a right to appeal, the origin of your data, if not collected by us, as well as the existence of automated individual decision-making including profiling and, if applicable, meaningful information on the details thereof.

If you wish to receive information about your data stored with us or want to transfer data, please contact us in writing at lzfw@leopoldina.org. Please note that we can only transfer the data based on consent or a contract. 

Rectification, erasure, restriction

At your request, we will rectify, block or erase the data stored relating to you, provided that other legal regulations (e.g., obligations to keep records under the German Commercial Code) do not conflict with this or the processing is necessary to exercise the right to freedom of speech and information, for reasons of public interest or to assert, pursue or defend legal claims. Furthermore, you can demand the restriction of processing your personal data if you contest the accuracy of the data, if the processing is unlawful, but you object to its deletion, and we no longer require the data, but you still need it for the assertion, pursuance, and defense of legal claims or if you have lodged an objection to the processing pursuant to Art. 21 GDPR.  Revocation of consent/opposition

Once you have given us consent to process your personal information, you can revoke it at any time by sending us a short written notification. As a result, we may no longer continue to process the data that was based on this consent in the future.  Please contact us in writing at lzfw@leopoldina.org.

If your personal data are processed based on a legitimate interest pursuant to Art. 6 para. 1 (f) GDPR, you have the right to object to the processing of your personal data pursuant to Art. 21 GDPR, provided reasons are arising from your particular situation, or the objection is made against direct marketing. In the latter case, you have a general right to object.

You can object to or withdraw your consent to the use of your data for advertising purposes at any time by sending a brief written message to lzfw@leopoldina.org, without incurring any costs other than the transmission costs according to the basic rates.

Right to data portability

Art. 20 of the GDPR establishes a new right to data portability, which is closely linked to the right of access, but nevertheless differs from it in many respects. Accordingly, data subjects are entitled to receive the personal data they have provided to a responsible entity in a structured, standardized, and machine-readable format and transfer it to another responsible entity. The purpose of this new right is to grant the data subject appropriate authority and give him or her more control over their personal data.

Newsletter

On our website, you have the possibility to subscribe to a free newsletter, which informs you about the work of the European Academies Research Initiative, dates, and personnel matters. During the registration process, we ask for your name and e-mail address. Collecting your e-mail address serves to deliver the newsletter. The name is collected during the registration process to prevent misuse of the services or the e-mail address used.

In connection with the data processing for the newsletter distribution, no data will be passed on to third parties. The data will be used exclusively for the delivery of the newsletter.

To ensure that no mistakes are made when entering the e-mail address, we use the so-called double opt-in procedure: After you have entered your e-mail address in the registration box, we will send you a confirmation link. Only after you click on this confirmation link will your e-mail address be added to our mailing list. You may revoke your consent thus declared pursuant to Art. 6 para. 1 (a) GDPR at any time with effect for the future.

Your e-mail address will be processed until your consent is revoked.

Contact form and e-mail contact

Description and scope of data processing

The contact form on our website may be used for electronic contact. If a user takes advantage of this feature, the data entered in the input mask will be transmitted to us and stored. These data are:

(1) Selected contact person

(2) E-mail address

(3) Individual message

(4) Voluntary information on title, name, institution and address

(5) “I would like to be regularly informed about European Academies Research Initiative’s news.” (Opt-In)

In order to process the data, your consent will be obtained during the sending process, and a reference to this data protection statement will be made.

Alternatively, it is also possible to contact us via the e-mail address provided. In this case, the user’s personal data transmitted with the e-mail will be stored.

In this context, the data will not be passed on to third parties, but exclusively used to process the conversation.

Legal basis for data processing

The legal basis for processing the data is Art. 6 para. 1 (a) GDPR if the user has given his consent.

The legal basis for processing data transmitted during the course of sending an e-mail is Art. 6 par. 1 (f) GDPR. If the e-mail contact occurs at the conclusion of a contract, an additional legal basis for the processing is Art. 6 para. 1 (b) GDPR.

Purpose of data processing

The processing of personal data from the input mask serves the sole purpose of contacting you and responding to your inquiry. In the case of contacting us by e-mail, this also includes the required legitimate interest to process the data.

Any other personal data collected during the sending process are used to prevent misuse of the contact form and ensure the security of our information technology systems.

Duration of storage

All data will be deleted as soon as they are no longer necessary for their intended purpose of collection. Personal data from the input mask of the contact form and those sent by e-mail will be deleted as soon as the respective conversation with the user has ended. The conversation is deemed to have ended when it can be concluded from the circumstances that the matter in question has been conclusively clarified.

Any additional personal data collected during the sending process will be deleted after a period of seven days at the latest.

Option to object and revoke consent

The user has the option to revoke his consent to the processing of personal data at any time. In such a case, the conversation cannot be continued.

Registration

Description and scope of data processing

On our website, we provide users with the opportunity to register by entering personal data. The data is entered into an input mask, transmitted to us, and stored. This data will not be passed on to third parties. The following data are collected during the registration process:

(3) Institution

(4) Address (street, number, postal code, city, country)

(5) Telephone number

(6) E-mail address

(7) Any other information required for the respective purpose

During the registration process, the user’s consent to the processing of this data is obtained.

Legal basis for data processing

The legal basis for processing the data is Art. 6 para. 1 (a) GDPR if the user has given his consent.

If the registration serves to fulfill a contract to which the user is a contractual party or the implementation of pre-contractual measures, an additional legal basis for the processing is Art. 6 para. 1 (b) GDPR.

Purpose of data processing

User registration is required for the provision of certain contents and services on our website. The data entered by the user in the “Joint Committee Dual Use” section will be published on the website; the purpose of this publication is described there. Data collected during the registration process for an event is used for organizational purposes of the event in question.

Duration of storage

All data will be deleted as soon as they are no longer necessary to serve their intended purpose of collection.

This is the case for data collected during the registration process if the registration on our website is canceled or amended. It is also the case for data collected during a registration process intended to fulfill a contract or implementing pre-contractual measures if the data is no longer required for the implementation of the contract. It may also be necessary to store the contractual partner’s personal data after the conclusion of the contract to comply with contractual or legal obligations.

Option to object and revoke consent

As a user, you have the option to cancel your registration at any time. You may also have the data stored about you amended at any time.

If the data is required to fulfill a contract or to implement pre-contractual measures, premature deletion is only possible if contractual or legal obligations do not oppose removal.

Data security

All information transmitted to us is stored on servers within the European Union. Unfortunately, the transmission of information via the Internet is not entirely safe, so we cannot guarantee the security of data transmitted to our website via the Internet. However, we do apply technical and organizational measures to safeguard our website and other systems against loss, destruction, access, modification, or distribution of your data by unauthorized parties. In particular, we transmit your personal data in an encrypted form and use the SSL (Secure Socket Layer) coding system to do so.

Cookies

Cookies are used on the European Academies Research Initiative website. Cookies are small text files that are stored on your user end device (e.g., PC, smartphone, or tablet) when you visit our website. They enable the website to remember certain entries and settings (e.g., language, font size) for a certain period of time so you do not need to enter them anew each time you visit the website.
